How to respond to reviews on Google
Open your Business Profile, choose Read reviews, select the Reply icon next to the review, type your response and select Reply. You must have verified the business first, and the reply shows publicly under the review as your business.
Where the Reply button is
Google's help page describes the route through your Business Profile: select Read reviews, find the review, select the Reply icon, type in the box, and select Reply. Google says you must verify your business before you can reply.
The reply is public. Google's page says approved replies appear under the review as your business and that 'your personal name won't be shown'. The reviewer is notified, and Google notes that 'customers can still change their review after reading your reply.' You can edit or delete your reply later from the same Read reviews screen.
| Question | Google's answer |
|---|---|
| Who can reply? | Only a verified Business Profile. 'Before you can reply to reviews, you must verify your business.' |
| Is the reply public? | Yes. It appears under the review as your business; your personal name is not shown. |
| Does the reviewer find out? | Yes. 'The person who wrote the review is notified when you reply.' |
| How long until it shows? | 'Replies usually take up to 10 minutes to review, but sometimes a review can take up to 30 days.' |
| Is there a character limit? | The help page states none. Keep positive replies to two or three sentences anyway. |
| Can I edit or delete it? | Yes, from Read reviews: Edit, then Update; or the Delete icon. |
How quickly should you reply to a Google review?
Google gives no deadline. BrightLocal's 2026 consumer survey found 81% of consumers expect to hear back within a week and 32% by the following day, so a day or two is a sensible habit.
Why sooner is better, in practice
Two things happen the moment a review is posted. The reviewer is watching for your reply, because Google notifies them when it arrives, and that is when a thank-you lands best. Meanwhile, the review is the newest thing on your listing, read by everyone comparing you with the business next door. An unanswered review in that spot says nobody is home.
There is no need to reply within the hour. Google's own check usually takes up to ten minutes anyway, and a reply written at the end of the day reads as well as one written at once. The habit that works for a small business is a fixed moment, once a day or twice a week, when all new reviews get answered.
5 star review response examples
Reply to a 5 star review by repeating the one thing the customer praised in your own words, thanking them once, and stopping. Do not ask for anything and do not sell.
Examples
The sample review is stated first. Each reply uses only what the review says; where the review has no text, the reply says so instead of inventing a detail.
Thanks for the five stars, [Name]. If you ever want to tell us what we got right, we'll keep doing it.
Thanks, [Name]. Glad the service was what you hoped for. See you next time.
Thank you, [Name]. Staying late ahead of a cold snap is Marcus all over, and I'll make sure he sees this. Stay warm.
Six years. Thank you, [Name]. Regulars are the reason we're still here, and we don't take a single visit for granted.
Glad the search paid off, [Name], and welcome. Thanks for giving a new place a try.
What makes these work
Each reply says one specific thing back: the cold snap, six years, the Google search. That is the proof you read it. The thanks comes once, not three times. Nothing is asked of the customer, because they have already done the generous thing. And none of them mention a promotion or another product; a reply that sells reads as marketing to everyone scrolling past.
4 star review response examples
A 4 star review usually has one 'but' in it. Thank the customer for the good part, name the gap in plain words, and do not argue or over-promise.
Examples
The 'but' is useful information in public. Acknowledging it shows the next reader that you listen; promising a fix you have not made shows them the opposite a month later.
Thanks, [Name]. Parking is the one thing we can't build more of, but the lot on [street] is free after 5 if that helps next time. Glad the rest was worth it.
Glad you liked the cut, [Name]. Thanks for the straight note on price; we'd rather hear it than not.
Thanks, [Name]. The job came out right, but a quote is a promise about time too, and we missed it. I appreciate you saying so plainly.
What makes these work
None of the replies explain why the gap happened. An explanation turns into an excuse in the reader's eyes. Each one names the problem in the customer's own terms, and the only promise made is one the owner can keep, like pointing to the free lot.
3 star review response examples
A 3 star review means something was off and the customer may not say what. Thank them for what they liked, ask for the missing detail, and give them a direct way to tell you.
Examples
Three stars with no text is common. Do not guess at what went wrong; the guess will often be wrong, and it tells the reader you have a list of known problems.
Thanks for laying it out, [Name]. Glad the food held up. The slow service and the volume are both things I can do something about, and I'm looking at both. If you're back, ask for a table away from the speakers.
Thanks for the rating, [Name]. Three stars tells me something was off, and I'd like to know what. If you'd share it, I'm at [phone] and I'll listen.
Fair, [Name]. Average isn't where we want to sit. If something specific fell short, I'd like to hear it; reach me at [phone].
What makes these work
Each reply treats three stars as a question, not an insult. The owner asks for the detail instead of defending against an unknown one, keeps the tone level, and offers a phone number so the conversation does not have to continue in public.
1 and 2 star reviews: the short version
Name the specific problem, apologize for that one thing, say what you will do next, and move the rest to a phone call, in three or four sentences. The full method, with worked replies for rude staff, long waits, wrong orders, price complaints, fake reviews and privacy-sensitive cases, is in our guide on how to respond to negative reviews on Google.
One example, then the guide
Here is the shape. Everything else about low ratings, including what not to write, when to report a review instead, and whether you may ask for an updated review, lives on the negative reviews page so that this one can stay about examples.
Fifty minutes past your appointment time with no update is too long, [Name], and I'm sorry we left you sitting there. Nobody telling you is the part I want to fix first. If you'd like to talk it through, I'm at [phone]. Tom, owner
Review response examples by trade
The same rules apply in every trade, but the details that prove you read the review are different: a dish, a technician's name, a room number, a closing date. These examples show what to repeat back in each business, and where a trade has a special rule, such as patient privacy, it is stated.
Restaurant review response examples
Repeat the dish or the server's first name; that is what the reviewer remembers and what the next diner is scanning for. Do not promise a free meal in public.
Thanks, [Name]. The short rib is the dish we argue about most in the kitchen, so I'm glad it landed. I'll tell Dani; she'll be pleased. See you next time.
Glad the tacos were worth the wait, [Name], though 25 minutes on a Tuesday is longer than it should be. I'm looking at how we seat on weeknights. Thanks for the straight feedback.
Fair enough, [Name]. 'Fine' isn't what we're going for. If you give us another shot, the [dish] is the one people come back for. Thanks for the honest rating.
Dental and medical review response examples
The rule here is privacy. Even in a glowing review, do not add any detail about the person's care, and avoid 'your visit' or 'your treatment'; thank them for what they chose to share and leave it there. In US health care, privacy rules can treat even confirming that someone is a patient as protected information, so the reply has to work without confirming anything the reviewer did not say themselves. If you are unsure what you may say, ask your lawyer or compliance adviser. For complaints, see the dental example in the negative reviews guide.
Thank you for sharing this. Helping anyone who dreads the chair feel at ease is something Dr. Patel's whole team works at, and it's good to hear it showed.
Thank you for the five stars. It means a lot to our team.
Thank you for the kind words about our hygienists. A 20-minute check-in is not the welcome we want anyone to have, and I'm looking at how the front desk handles busy mornings. We appreciate you telling us.
HVAC and plumbing review response examples
Homeowners praise two things: speed and honesty. Repeat the technician's name and the specific moment, like a dead AC at 9 pm. If a review says you recommended a repair over a replacement, say that is how you work; it is the most persuasive line on your listing.
Thanks, [Name]. A dead AC at 9 pm in July is miserable, so I'm glad Luis got there fast. I'll pass this along to him. Call us if anything acts up.
That's the review I like most, [Name]. If a repair will do the job, that's what we'll recommend. Thanks for trusting us with it.
Glad the work was solid, [Name], and you're right that a week is a long time to wait. We're working on the schedule. Thanks for sticking with us.
Salon and spa review response examples
Name the stylist and the service. Clients come back for a person, so the reply should make that person visible. For a bad cut or color, the fix belongs on the phone, not in the reply.
So glad, [Name]. Jess spends real time matching the photo, and it shows. Enjoy it, and we'll see you for the touch-up.
Falling asleep is the best compliment we get, [Name]. Thanks for coming in. Rest well.
Thanks for the honest note, [Name]. Glad you liked the cut. Thirty minutes past your time isn't okay, and I'm tightening the book so it doesn't happen again.
Hotel review response examples
Guests mention the room, the view, the breakfast and a staff member by name. Repeat one of those. For a complaint about a specific room, say what you are checking, and keep any compensation off the page.
Thank you, [Name]. The bay-view rooms on the fourth floor are the ones we're proudest of, and I'll let the front desk know you noticed them. Come back when you can.
Glad the location and the breakfast worked for you, [Name]. A lukewarm shower is not the start to the day we want you to have, and I'm having maintenance check that room. Thanks for telling us.
Thanks, [Name]. Clean and quiet we can promise; the walk from the lot is a fair complaint. Next time, ask the desk about the [closer option] when you book.
Auto repair review response examples
Trust is the whole review. When a customer says you showed them the worn part or beat the dealer's timeline, repeat it; it does more for you than any ad. Complaints about the bill or a repair that did not hold are covered in the negative reviews guide.
Thanks, [Name]. Showing you the parts is how we'd want to be treated, so that's how we do it. Drive safe.
Same day was the goal, [Name], and I'm glad Mike pulled it off. Thanks for giving us a shot over the dealer.
Law firm review response examples
Confidentiality applies to praise as well as complaints. Thank the reviewer and speak about how the firm works in general; do not add anything about their matter, and do not confirm details they did not state. The complaint version is in the negative reviews guide.
Thank you. Quick callbacks and plain English are what we aim for on every matter, and Sarah will be glad to read this.
Thank you for the kind words. Estate matters come at hard times, and we try to make the process steady and clear. We appreciate you sharing this.
Real estate review response examples
Agents can be personal: you are the product. Repeat the result the client named, nine days or over asking, and congratulate them. Do not add numbers the review did not state.
Congratulations, [Name], and thank you. Nine days and over asking is the result we work for. Enjoy the next chapter, and call me if you ever need anything on the house.
Thanks, [Name]. A first purchase comes with a lot of paper, and walking through it together is the part of this job I like most. Congratulations on the house.
Thank you for the kind words about the work, [Name], and for the honest note on the lender. A slow lender is stressful at the worst moment, and I'll keep that in mind before I recommend one again.
How to keep your replies from all sounding the same
Change the first three words every time, use one detail from the review, and sign with a real name. Those three habits are enough to keep a listing with a hundred replies from reading like a script.
Three habits
Readers scroll. If the first three words of five replies in a row are 'Thank you for', they stop reading replies. Start with the detail sometimes ('Six years.'), with the name sometimes, with the thanks sometimes.
Use the customer's own words. If they wrote 'unreal', you can write 'unreal'. Mirroring one word from the review is the cheapest proof that a person read it.
Sign with a first name and a role, at least on anything below five stars. Google shows the reply as your business, not as you, so the signature is the only way a reader knows a person answered. BrightLocal's 2026 survey found 50% of consumers are put off by generic or templated replies, and 80% say they are likely to use a business that responds to all of its reviews; both numbers point the same way.
Questions people ask
How do I respond to a Google review as the owner?
Open your Business Profile, choose Read reviews, select the Reply icon next to the review, type your response and select Reply. You must have verified the business first. Google says replies usually take up to 10 minutes to be reviewed, but sometimes up to 30 days.
Is there a character limit for Google review responses?
Google's help page on managing reviews does not state one. In practice you do not need the room: two or three sentences for a positive review and three or four for a negative one is what reads well on a phone screen, where most people see your listing.
Should you respond to every Google review, including 5-star ones with no text?
Yes. In BrightLocal's 2026 survey, 80% of consumers said they are likely to use a business that responds to all of its reviews, while far fewer said the same of businesses that respond only to positive or only to negative ones. For a rating with no text, keep it to one or two sentences and do not invent what they liked.
How long should a response to a positive review be?
Two or three sentences. Repeat one detail from the review, thank them once, and stop. A long reply to a short compliment reads as a sales pitch.
Can I edit or delete my reply after posting it?
Yes. In your Business Profile, open Read reviews, find your reply and choose Edit, then Update; or choose the Delete icon and confirm. The reviewer is notified of your reply, and Google notes that customers can still change their review after reading it.
Why is my reply not showing on Google?
Google reviews every owner reply against its content policies before it appears, usually within 10 minutes but sometimes up to 30 days, according to its help page. If it has been longer, or the customer's review itself has vanished, see our guide on why a Google review is not showing.
